Position Title: Program Associate

Department: Delta (Program Excellence) Team, US

Reports to: Team Leader, Delta

Status: 100% FTE, non-exempt
Salary Level: 10


Support the success of World Renew’s Program Excellence Team (Delta) and other functions by accomplishing the following duties and responsibilities.


1. Monitoring and Evaluation

  • Manage World Renew Management Information System (MIS), currently NewDea
  • Serve as World Renew’s organizational program liaison to the system software designers, currently NewDea
  • Enhance management information system uses
  • Analyze reporting needs and design appropriate mechanisms to maximize the agency’s program data use for home office functions and ministry teams
  • Set up the reporting framework in the management information system (MIS), match plans to budgets and search for missing information. Work with Ministry Team Leaders to ensure that plans and budgets are entered into the MIS on schedule and that reporting is entered in time for organizational reporting
  • Create and run program reports for organizational leadership and the Grants Sub Team. Provide data analysis when requested

Update the annual Planning Guide for the community development programs and partners​2. 

2. Measurements

  • Common Indicators –
  •  manage their development through ad hoc committees or Working Groups
  • maintain and organize the indicator information in shared folders,
  • integrate into NewDea,
  • train staff on reporting
    • Revise organizational tracking metrics in NewDea as requested


  • Enter approved plans such as results, indicators, baselines and targets for grant-funded programs into the management information system
  • Assist the Grants Sub Team staff in preparing reports to grant makers, including sending reminders to field staff, proofread and edit stories and narratives, communicate with field staff to ask about inconsistent data or to better understand information that is unclear, and access program data from the management information system for inclusion in reports
  • Maintain database of pending, ongoing, and closed grants 4.

4. Working Groups

  • Schedule, coordinate logistics using specialized software, take minutes for working groups at the direction of the working group’s convener
  • Maintain web and file-pages on the intra-net sites for working groups
  • Support distribution of learning – communication with donors through working group newsletters, writing and editing documents when requested
  • Maintain list of internal grant opportunities

5.Commons Support

  • Support Staff Developer in maintenance of the Commons
  • Send emerging innovation developments via e-mail updates of recent material on intra-net sites

6. Schedule, coordinate logistics (Skype and other call management operations), take minutes for meetings, at the direction of the team or sub team leader

7. Staff Orientation

  • Provide logistical and other support for agency wide orientation and orientees in coordination with the Staff Developer and Human Resources Manager, including support to orientees who attend in the US office
  • Train all new staff in the use of  World Renew’s management information system and requirements for program design and reporting
  • Conduct training opportunities for staff on an continual basis

8. Perform other duties as assigned

  • Exposure to Structured Query Language (SQL) and its manipulation is a definite asset
  • Ability to meet deadlines and work effectively in a team environment
  • Advanced conference call set-up and computer skills and an ability to quickly learn new computer applications including detailed knowledge of Google products including Calendar, Forms, Google Drive, Hangout and related features
  • Good writing and proofreading skills with thorough knowledge of correct grammar, punctuation, spelling, and general business English skills
  • Experience working with results based management, logic frames developing indicators and measurements
  • Ability to communicate cross-culturally in written form and/or in-person


  • Bachelor’s degree in a field related to community development is required
  • At least two years of work experience working with data and systems is required; in an international development environment is a definite asset
